Documentum Replacement Options for Legacy ECM

Oct 22, 2026, 11:03:09 AM

Replacing Documentum can be a huge project. The replacement should support the way your organization uses and manages your content today while preserving all the information and controls that are needed or even improved. Specialists comparing Documentum alternatives most of the time consider Sharepoint, another enterprise content management (ECM) platform, an application-focused content service, or a split model that moves active content and archives to different destinations.

With more than 20 years of enterprise content migration experience, Xillio has helped organizations move complex content repositories, including Documentum, to modern platforms while preserving critical metadata, relationships and governance controls.

Define what you need to replace

Documentum can play multiple roles in one organization. Before you start comparing products, make sure the layer that causes the problem is defined.

Replace the user interface

Some organizations are still relying on Documentum as their governed repository and only want to replace Webtop or another outdated interface. A new interface can improve usability, search, mobile access, and integration without moving the underlying content.

This route may suit organizations that trust the repository and governance model but struggle with user adoption or front-end maintenance. It does not remove Documentum licensing, infrastructure, or specialist administration. These are most of the time also things you want to address.

Replace an application or workflow

Documentum may support all different kinds of regulated processes, case applications, or custom workflows. If that is the case, the replacement must cover business behavior and also all documents.

Map forms, approval steps, integrations, audit requirements, and exception handling before selecting a new possible target. A new platform can match all the repository features but still fails to support the apps that employees use on a daily basis.

Replace the complete Documentum platform

Migrating all content, metadata, security settings and business rules to a new content platform as a full replacement for Documentum can help get rid of legacy infrastructure and alleviate Documentum skill shortages.

This is also the biggest scope of work in terms of how content will be organized in the Target platform and thus requires decisions on what to keep and convert, what to archive and what to retire.

Split active content and archive content

Content active in collaboration and content in long-term retention typically have different requirements. Active content can move to a modern workplace while inactive or immutable content will be moved to a lower-cost archive that still supports required retention, search and compliance access.

This model will help reduce the volume of information to be migrated and its complexity, provided clear ownership of information, sound retention policies, and the ability to search for information in both destinations.

Documentum replacement options

The following routes cover the most common replacement patterns. Treat platform names as starting points for evaluation. Your information architecture, regulatory obligations, and integration needs should determine the shortlist.

Replacement route
Best fit
Main question to resolve
Microsoft 365 and SharePoint Online
Organizations that use Microsoft 365 for collaboration, governance, and employee access
Can SharePoint's sites, libraries, content types, and permissions represent the Documentum structures the business still needs?
SharePoint Embedded or another application content service
Teams building content into a custom business application without a traditional ECM interface
Who will own the application experience, records controls, and lifecycle configuration?
A dedicated cloud ECM or document management platform
Organizations that need strong document control, workflows, case management, or industry-specific capabilities
Does the platform support the required controls, and can it receive Documentum content without losing context?
Another enterprise content platform in the OpenText ecosystem
Organizations that prefer to retain an OpenText-centered architecture while retiring a legacy Documentum implementation
Which functions can move through configuration, and which custom applications need redesign?
Active platform plus compliant archive
Organizations with large volumes of inactive content and a smaller set of content used in daily work
Which content belongs in each destination, and how will users, auditors, and legal teams retrieve it?

Microsoft 365 and SharePoint Online

SharePoint Online is one of the most used replacements for organizations that are already using Microsoft 365. It helps to bring documents closer to Teams, Microsoft Purview, Power Automate and the rest of the Microsoft ecosystem.

Map a thoughtful reproduction of your Documentum environment to your future Document Management Application (DMA) - SharePoint. Note that there is NO direct correlation between SharePoint’s Document Libraries, Lists, Content Types and locations versus Documentum’s cabinets, folders, Document Types and corresponding document objects and their inter relationships (metadata, major/minor versions, renditions, virtual documents, multi-parent documents, permissions, links to other repositories, etc.).

You can find more information in Xillio's article on Documentum to SharePoint Online migration for target-specific considerations and multiple links to case studies of such migrations.

SharePoint Embedded or application content services

An API-first content service can support all kinds of custom applications while keeping documents inside a governed cloud environment. This approach suits organizations that want to control the user experience and integrate content into a line-of-business application.

The team has to take more responsibility. Know the search experience inside out, metadata model, security design, records controls, and operational support before this route is chosen. Xillio's Documentum to SharePoint Embedded page describes one Microsoft-based example.

Dedicated ECM and document management platforms

Platforms such as Alfresco, M-Files, Box, and Hyland Nuxeo are worth considering when Documentum supports controlled documents, records, or content-driven business processes that a collaboration platform cannot cover without a lot of customization (read: very high costs). A dedicated ECM is most of the time unnecessary when Documentum is mainly used for shared document storage. In that case, replacing one specialist platform with another may preserve the same licensing, administration, and skills burden. Compare these ongoing costs with the benefits before committing to a new ECM platform. Xillio can help organizations migrate content from Documentum to supported target platforms, including SharePoint Online and File storage.

Start to determine the current role of Documentum within your environment. If it is the regulated system of record, ask each vendor to demonstrate retention, legal holds, audit trails, version and rendition handling, and permission inheritance using representative content. If Documentum powers xCP, D2, or custom workflows, test process states, exception routes, object relationships, and integrations. If business applications use Documentum as a back-end repository, focus on APIs, stable identifiers, preservation of links, bulk performance, and monitoring.

Use a proof of concept (POC) to know all the requirements the target supports through configuration and the ones that require custom code. A candidate can match a long feature checklist and still be a poor Documentum replacement if your team must rebuild core behavior (will cost many hours and is not what you want), maintain bespoke integrations, or accept limited export options. Those candidates must be removed before procurement, then compare the remaining platforms on implementation effort, operating cost, and the ability to move the content again later. Also, finding the correct files and making the content easily accessible for end-users is something to consider. LLMs can search and find your data in the end but can take up a lot of credits doing so. A smart and cost-effective solution for this is aspect management.

Another OpenText content platform

There are organizations that want to get rid of Documentum while keeping an OpenText-centered content architecture. This way they can reduce the number of vendor relationships and align the replacement with an existing OpenText strategy.

Such a migration still needs complete content and application assessment. OpenText products use different content models and interfaces. Custom Documentum applications, workflows, metadata, and security rules may require transformation rather than direct transfer. Xillio provides more detail on Documentum to OpenText Content Management migration.

Documentum migration in practice

In one enterprise migration project, Xillio supported the move of more than 200 TB of content from Documentum to SharePoint Online across six countries. The project illustrates the scale and complexity that organizations may face when replacing legacy content management environments.

Move all required content out of Documentum

When replacing Documentum, the goal is to get rid of all the content that your organization needs to keep from the old platform, so you can finally stop using it. This doesn't mean you have to move everything to one place. You can move the active content to a new platform that you're actually using, like SharePoint Online or another system for managing content. On the other hand, you can move content that's not active but still important to a secure archive. As for content that's no longer needed, outdated, or not worth keeping, you should only delete it after the right people - like those in charge of the business, legal team, and records - agree that it's okay to get rid of it. This way, companies don't have to use a pricey collaboration or ECM platform just to store content that employees hardly ever look at. It also means they don't have to keep Documentum around just as a legacy archive, which would still require them to pay for licenses, infrastructure, security, and special support. If the chosen platform can handle both active and archived content in a cost-effective way, while still meeting the requirements for retention and access, then both types of content can be moved to the same platform.

How to compare Documentum alternatives

Start with a comparison of your business requirements and repository evidence. Create a scoreboard and score each option against the same criteria.

Business process fit

All processes that depend on Documentum, including hidden or infrequent ones, must be listed. Identify the users, decisions, approvals, integrations, and exceptions for each process. Mandatory controls have to be separated from old habits that grew around the old system.

Content model fit

Inventory cabinets, folders, custom document types, attributes, value lists, versions, renditions, relationships, and virtual documents, decide which structures the target should preserve and which structures it should simplify. Remember, Documentum has some unique capabilities that other platforms cannot offer.  Decide how important some capabilities are and how you expect the new target to handle this.

Security and compliance

Review users, groups, access control lists, inheritance, records classifications, retention schedules, holds, and audit information. The target security model must produce the intended access after mapping. Validate permissions with representative users before cutover.

Integration and application fit

Document the systems that create, retrieve, link to, or update Documentum content. Include direct links, APIs, batch jobs, scanners, publishing processes, and custom applications. Broken integrations can create more disruption than the file transfer itself. This is why Xillio uses its own Xillio Link Redirector.

How it works

Operating model and total cost

Compare licensing, infrastructure, implementation, administration, support, training, and future migration costs. Include the specialist skills required to run the platform and the effort needed to keep customizations current.

Migration feasibility

Test how each candidate handles the hardest content in your repository. A proof of concept should include custom metadata, complex permissions, version trees, renditions, relationships, large files, and records controls. Use reconciled counts and exception reports to judge the result.

A practical Documentum replacement process

Start with data discovery before you create a shortlist of possible targets. Measure how much content you have, the number of object types, the quality and quantity of your metadata, permissions, versions, duplicates, usage, virtual documents, and application dependencies. Xillio Insights can provide this inventory. The output should show exactly what should be migrated to the new platform, what belongs in an archive, and what can be removed under approved retention rules.

Use that evidence to design the target. Map metadata, permissions, retention, version handling, and relationships before building migration rules. Test the difficult cases, including complex permissions, renditions, large files, virtual documents, and links used by other systems. A feature with a similar name may not behave like the Documentum feature it replaces.

Migrate in phases and use delta runs to capture changes made before cutover. Validate document totals together with metadata, versions, permissions, links, and business processes. Keep Documentum available until content owners approve the result and the organization has met its retention, audit, and continuity obligations.

Frequently Asked Questions

Can SharePoint Online replace Documentum?

SharePoint Online can be used to support collaboration and routine document management and can potentially act as a replacement for Documentum. However, a Virtual Document as defined by Documentum consists of a set of complex related documents that can be re-used. The documents are related and are tied to specific versions of the related documents. In SharePoint Online, the related documents are placed into a Document Set. The metadata of the Document Set is shared with the individual documents but the complex relationships and versioning are not.

Determine if the complex Virtual Documents can be replaced with SharePoint Online. Test Document Sets, fixed PDFs (i.e., approved document copies) as well as custom development or even other ECM models that allow reusable components and even more sophisticated revision control. Test representative scenarios first before deciding on SharePoint Online as the replacement.

What should a legacy Documentum replacement preserve?

A legacy Documentum replacement should preserve the content and controls the business still needs: metadata, versions, renditions, permissions, relationships, retention information, and migration evidence. Do not recreate obsolete structures unless they still support a business or compliance requirement.
